Introduction

When a teacher or education professional wants additional help to support a child or young person they can contact the Educational Psychology Service (EPS). The EPS will then undertake an assessment of the child or young person’s educational needs in order to help the school and family to support the child or young person to achieve their educational outcomes.

What personal information we collect

  • Address and contact details.
  • Age and date of birth.
  • Gender.
  • Attainment or educational data.
  • Ethnicity or nationality.
  • Health or medical records, including disabilities.
  • Photographs.
  • NHS numbers.

When we collect personal information it may be about:

  • Children.
  • Individuals.
  • Pupils and students.
  • Extended family, for example, parents, children and siblings.
  • Carers.
  • Service users.
  • Applicants.
How we use personal information

We use your personal information to:

  • Provide support and services to children and young people with additional educational needs.
  • Provide written advice towards a statutory assessment of the child or young person's needs, known as an Education, Health and Care (EHC) Assessment.
  • Commission appropriate services.
  • Safeguard the welfare of children and young people.
  • Maintain accounts and records.
  • Provide advice and training.
  • Undertake investigations and audits.
  • Manage complaints and allegations.
  • Evaluate and improve the quality of our services and policies.
Why we use your personal information

We're required by law to provide appropriate and suitable education to children and to support those with additional needs and disabilities. This is detailed in legislation and guidance including:

  • Education Act 2002.
  • Education Act 2011.
  • Learning & Skills Act 2000.
  • School Standards & Framework Act 1998.
  • Disabled Persons Act 1986.
  • Children & Families Act 2014.
  • Special Educational Needs & Disability Regulation 2014.

We're allowed to process personal and sensitive data for the following reasons under the General Data Protection Regulation (GDPR) Articles and the Data Protection Act:

Who we share your personal information with

We collect information from and disclose information to individuals and organisations that can support our work including:

  • Schools, higher education and training providers.
  • Partner agencies and service providers.
  • Health and healthcare organisations.

Automated decision about your personal information
This service doesn't make any decisions using computers or programmes that don't involve a human being when using your personal information.
How long we keep your personal information
We keep personal information collected as part of this process for 25 years from the child's date of birth, or for an additional length of time if necessary.
Transferring personal information beyond the EEA
This service doesn't transfer your information outside the European Economic Area (EEA).

We do not routinely share data with any organisation outside the UK, but our website is available across the internet and we communicate with applicants and stakeholders wherever they are.
