This privacy notice provides additional privacy related information for the council’s role and functions in delivering in the Homes for Ukraine scheme on behalf of national government and relates to both personal data held for both guests and sponsors.
Under the Homes for Ukraine scheme, we process personal data to deliver the Homes for Ukraine scheme.
The council will undertake checks on sponsors including Disclosure and Barring Service (DBS) or enhanced DBS checks on adults living in the property, safeguarding checks, and checks on the sponsor’s home or property.
The council is responsible for the checks for sponsors.
The council will share personal data with the Home Office and the Department for Levelling Up, Housing, and Communities. We will share data with other agencies where relevant to fulfil our role in ensuring the suitability of hosting arrangements.

We collect personal information to make sure that we can carry out our work. The personal information we collect includes:
- Name
- Date of birth
- Gender
- Nationality
- Ethnicity
- Address and contact details (telephone numbers, email addresses)
- Financial information
- Property information
- Housing information
- Family and relationship information
- Referrals and assessment information
- Criminal/prosecution information, employment information as part of internal safeguarding checks and DBS checks
- Visa status
- Information documentation

- Identify the suitability of your property
- To administer the optional monthly thank you payments
- Provide advice and support
- Provide support and guidance to young people
- Safeguard the welfare of adults, children, and young people

- Prevention and detection of crime

We are required by law to ensure that retailers are responsible to help reduce crime, antisocial behaviour and poor health across the borough. This is detailed in legislation and guidance including:
- Government expectations for the Homes for Ukraine Scheme
- Immigration and Asylum Act 1999 – Allowing the authority to share data with the Home Office for immigration purposes
We are allowed to process personal and sensitive data for the following reasons under the General Data Protection Regulation (GDPR) Articles and the Data Protection Act:
- GDPR Article 6 (1) (a) with regards to consent; 6(1)(c) in relation to conducting legal duties on behalf of central government; and 6(1) (e) in relation to official authority in conducting safeguarding checks as per the joint visa application between sponsor and guest through the Homes for Ukraine scheme
- GDPR Article 9(2)(h) in relation to health or social care to support access to appropriate public service support and pathways
- DPA 2018 Part 3 (35) (2a) with regards to DBS checks

We collect information from and disclose information to individuals and organisations that can support our work.
The majority of data sharing will be with the Home Office and DLUHC, but other data sharing will occur in the interest of safeguarding or where relevant to other areas, including:
- Home Office
- Department for Levelling Up, Housing and Communities (DLUHC)
- Greater Manchester Police
- UK Border Agency
- Department of Work and Pensions (DWP)
- Legal representatives
- Council services – Adult and Children’s Services, Human Resources, Finance, Partnership Enforcement Team, Homelessness and Housing Solutions, Skills and Employment
- His Majesty's Revenue and Customs (HMRC)
- Other local authorities
- Voluntary agencies
- Housing providers
- Repairs and maintenance contractors
- Automated decision about your personal information
- This service doesn't make any decisions using computers or programmes that don't involve a human being when using your personal information.
- How long we keep your personal information
- Information will be held for 2 years following closure of the scheme. Financial information will be retained for 6 years.
- Transferring personal information beyond the EEA

This service doesn't transfer your information outside the EEA.
